Question: Can you outline the proper procedures to ensure completion and credit for online courses? Answer:1. New students will need to register. They will be required to provide their e-mail address, SSN, mailing address, and the e-mail address of the supervisor. 2. A registered student can login to his/her account. From there the student can enroll in any Correspondence Study courses, check the status or grades of current enrollments. They can also update the account information such as password and mailing address. 3. Once a student enrolls in a new course, an e-mail message is sent to his/her supervisor for approval. The supervisor clicks the hyper link attached in the e-mail message, click "Approve" or "Reject" button to verify. 4. If it is approved, the study material is mailed out from our book depository. 5. End-of-chapter exams come with the study material. Students can submit the answers online instead of using bubble sheets. It is no need to mail the answers to the Correspondence Study office for grading. 6. If the course requires a final exam, the student can order the exam material online. Again, an e-mail message is sent to the supervisor for approval. The supervisor clicks the hyper link attached in the e-mail message, click "Approve" or "Reject" button to verify. In addition the supervisor needs to enter the mailing address. 7. If it is approved, the exam material is mailed to the supervisor directly. The student can submit answers online under supervision. 8. If the student passes the exam (grade 70 or higher), the completion is entered into the central system. Student will receive certificate through the regional training office. If fails, the student can re-enroll anytime. For enrollments submitted via paper: 1. Submit an AC Form 3145-2, approved by your supervisor, to the Correspondence Study Team (AMA-310C) via regular mail or fax (405-954-0231). Supervisor's name, phone number and e-mail address must be included with enrollment request. Failure to include this information may result in delayed enrollment and shipment of course material. 2. Paper enrollments using AC Form 3145-2 will be input into the on-line system by the Correspondence Study Team and course material mailed to address shown on enrollment form. 3. End of lesson test(s) must be completed and bubble answer sheet(s) mailed to Correspondence Study Team for grading via on-line system. Scores will be recorded in on-line system. 4. Supervisors must request final exam materials via mail, fax, or e-mail. Exam booklet and bubble answer sheet will be mailed to the supervisor. Once final exams are completed, supervisor forwards bubble answer sheet via mail to the Correspondence Study Team for grading. Final exams are scored via the on-line system and training histories updated in CPMIS with completion date and grade. Question: Where can I get a complete list of Correspondence Study courses? Answer:A complete list is available at the FAA Academy web site "http://www.academy.jccbi.gov", click "Training Catalog" and then click "Correspondence Training". Question: I use Lotus Notes, how to find out my e-mail address? Answer:Your Lotus Notes log in name is the same as your e-mail name with "." in between each name. For instance, if your name is "John H Smith", then your email address will be "John.H.Smith@faa.gov". You can test it by sending yourself an e-mail. If you are not sure, contact your system administrator. Question: Is it safe to enter my social security number when I register? Answer:The Correspondence Study is a secure web site. It uses 128-bit encryption, the highest level of protection possible for all your Internet communications. Note: 128-bit encryption is included in the latest version of the Internet Explorer and Netscape Communicator. If you are running Internet Explorer 5.0 or an earlier version, or Netscape Communicator 4.6 or an earlier version, you should download the latest version from Microsoft at http://www.microsoft.com/windows/ie/downloads/recommended/128bit/default.asp or Netscape at http://home.netscape.com/download/index.html. When you log in to your Correspondence Study account, be sure that the website's URL always begins with "https://www.academy.jccbi.gov/". The "s" in "https" at the beginning of the URL means you are logging into a secure page. Question: What happens after I enroll in a course? Answer:An e-mail message will automactically be sent to your supervisor. Your supervisor could approve or reject the request through the internet or e-mail. If it is approved, you will receive the study material by mail in 5-10 days. Question: How to request the final exam material for an approved enrollment? Answer:To request the final exam material, log in to your account, click "Current Enrollments", then click "Request" link under "Final Exam" in the very right column, an e-mail message will be sent to your supervisor automatically. As long as it is approved by your supervisor we will mail out the final exam material. Question: I entered the wrong e-mail address for my supervisor. My supervisor has not received my request. What can I do? Answer:Log in to your account, go to "Update Supervisor" and verify the information. Go to "Current Enrollments", click the enrollment ID (in the very left column), then at the end of the "Enrollment Profile" dialog box, you will see a link "re-send the approval request". Click re-send. Another e-mail message will be sent to your supervisor immediately. Question: I accidentally enrolled in a course , how can it be deleted? Answer:To delete an accidental enrollment, contact the Correspondence Study administrator by phone (405) 954-0227 or e-mail 9-AMC-AMA-Correspondence-Study@faa.gov. Only the administrator can delete an enrollment. Question: Will I get a certificate? Answer:If you are an FAA employee, a passing grade (70 or higher) automatically generates a certificate. The certificate is mailed to you through the regional training office. If you are not an FAA employee, a certificate will be mailed to you directly from the Correspondence Study Office. Question: How do you calculate the exam grade? Answer:For each exam, if you score 70 or above you will pass. If you fail, you are allowed one more try. The highest grade of both attempts will be used as the grade for this particular exam. If there is more than one end of lesson exam, those scores will be averaged for your final grade. If there is an end of course exam, the end of course exam is 80% of your final grade. Your end of lesson average will count as 20% of the final grade. Question: How soon can I retake a course after failing? Answer:Follow the organizational orders and guidelines.
